Proficient in Microsoft Office Tools, especially in Microsoft Excel (e.g. Vlookup, PivotTable)

Roles & Responsibilities:

o Providing secretarial and administrative support for members in the team

o Handling administrative enquiries from internal and external customers

o Involved in Ad-Hoc Projects

o Managing travel arrangements for team, and visitors to Singapore

o Managing Expense reports for the Senior Managers

o Coordinating logistics needs for teleconferences and local meetings

o Organizing and handling regional meetings and top management visits

o Updating and managing certain Teamspaces and Sharepoint (document management)

o Updating and extracting SAP financial reports

o Updating and reporting budgets using MS Excel

o Managing incoming invoices, POs and AR/AP and x-charge processes via online systems

o Coordination and preparation of new hire, probation confirmation materials

o Interview scheduling

o Raising and cross-charging of contractors’ PO

o Administrative and Logistics for Employee On-boarding

o End to End pre and post training and recruiting logistics (Setting up of training courses, Sending out emails, Printing of materials, ordering food and materials, booking of rooms, attendance, etc.)

o Preparation of the feedback reports

o PGLA systems Management

o Administrative and Logistical Support for projects

o Raising and following up for Training POs

o Preparation of contracts

o Any ad hoc travel document applications
