Warehouse Assistant Job Description - Warehouse assistant's main role is helping or assisting streamline of the supply chain within a warehouse facility to increase productivity and efficiency. Various industries depend on warehouse workers because managing warehouses is vital for the benefit of the company. When the pandemic started, warehouses kept expanding despite many other sectors collapsing. As e-commerce grew significantly during this time, it impacted the warehouse sector significantly as well. The number of warehouse jobs created increased when the pandemic hit in 2020. Even to this day, it means warehouses hire new employees constantly to keep the business alive.

Warehouse assistants usually have the same main tasks and duties except they’re responsible for tasks that require different approaches. For example, the duties of a warehouse assistant working for a fashion and healthcare sector can be somewhat similar and different at the same time.

The warehouse assistant working in a healthcare sector should have knowledge related to this sector and comply with the right procedures, rules, and regulations. The same rule goes with the fashion sector as well.

In order to give a better understanding about their responsibilities, here are tasks and duties of a warehouse assistant.

  • Assist the warehouse supervisor in providing efficiency and productivity of the warehouse. Warehouse assistant’s main role is assisting the supervisor that will be explained further in the next point.
  • Handle the incoming stocks. This task is followed by other tasks such as checking, receiving, labeling, packing, and storing all the stocks.
  • Remove inventory from trucks or shipping and delivery to proper location
  • Update logs and documentation for inventory processing.
  • Ensure the newly received stocks are in good quality, accurate quantity, and fit the company’s standard.
  • Follow quality, security, and safety service standards and comply with procedures, rules, and regulations.
  • Monitor the stock levels and perform cycle counting.
  • Perform administration duties for incoming and outgoing shipments.
  • Perform effectively in the storage of products to the assigned area, using the available systems and tools that support an efficient and accurate process.
  • Make sure the inventory processes are completed on the same day.
  • Pack item according to specified packing guidelines.
  • Ship and fulfill customer orders in the inventory system.
  • Ensure that internal delivery processes are adhered to.
  • Input the appropriate tracking numbers and links.
  • Pack the items and label them correctly before moving to the next task.
  • Perform stock takes bi-annually on all products in the warehouse.
  • Maintain constant operation and integrity of all warehouse tools. If the printer is one of the main tools in the warehouse, it’s important to ensure the printer is not broken by doing regular operation and checking.
  • Communicate often with the warehouse, purchasing, and manager for effective and accurate preparation of orders sent to the warehouse.
  • Contribute to an optimized daily workflow operation within the assigned processes by working in a lean, simple, and cost-conscious way, using and sharing good examples.
  • Maintain a safe and clean work environment by keeping shelves, inventory space, and workstations neat.
  • Ensure your workspace is debris free and remove safety hazards from aisles.
  • Organize warehouse and work area for orderliness at all times.
  • Wear the proper safety equipment.
  • Liaise with customers, suppliers, and transport companies as and when required in a timely manner.
  • Identify errors and eliminate root causes using robust countermeasures.
  • Make suggestions for productivity improvements.
  • Report immediately if there’s failure in operation or emergency situation such as damaged or missing inventory to the supervisor.
  • Prepare documentation and inventory for audits.
  • Operate pallet jack to move heavy products.
  • Move goods or items through the warehouse from inbound to dispatch with a forklift.
  • Adhere to the company’s Workplace Safety, Health and Security (WSHS) Policy and implement the associated bizSAFE protocols.

1. Minimum GCE ‘O’ or ‘N’ Level

Many warehouse assistant job advertisements state that candidates applying for this vacancy must have a minimum ‘O’ or ‘N’ level of General Certificate of Education (GCE). Some other job advertisements don’t specify the academic qualification. It means anyone can apply regardless of their academic level as long as they can meet other qualifications.

2. Minimum 1-2 years’ experience

This is also one of the common qualifications to apply as a warehouse assistant. You can apply if you have the required year of experience. If you have less years of experience, you can try to apply if only you can convince the hiring manager that your skills can meet their standard.

Though this is one of the common qualifications, there are opportunities open if you don’t have experience yet. You don’t have to worry about being inexperienced on your first day at a job because the company provides On the Job Training (OJT). It’s a training program for the new employees to introduce them to their actual workplace and perform their tasks with guidance of the senior employees. The training period can vary depending on the company’s regulation and it can last months.

3. Computer literacy

Warehouse assistants must have computer literacy because everything is computerized. There are several tasks that require computers such as warehouse control systems, scan barcodes using the company’s assigned platform, safety software, automated equipment, and pick items from warehouse shelves using lights to direct employees.

It means there is common software that warehouse assistants usually use for their job. It starts with Microsoft Office, be it Microsoft Excel, Microsoft PowerPoint, and Microsoft Word. They use this software to input and save data. Able to use email properly as well as warehouse-specific platforms.

4. Driving license

You will be required a driving license if the company wants to hire a warehouse assistant that also can drive. Driving license is also needed as one of the conditions to obtain a forklift license. This one will be explained further in the next point.

5. Forklift license

In Singapore, a forklift license is mandatory for employees who operate forklift. Some companies can also welcome new employees with no forklift experience, then give the new employee training, and it’s usually stated on the job advertisement as well. However, any employee taking this job seriously should consider obtaining a forklift license.

The reason forklift license is required is because warehouse forklifts are bigger and more complex to operate. It’s important that the operator has knowledge about how to operate the forklift safely. The other reason is to prevent accidents associated with forklifts. There’re common accidents involving warehouse forklifts such as being hit by falling objects, tipping over, even being crushed by a forklift.

There are several options to obtain a forklift license such as AAT Training Hub, NTUC LearningHub, PSA Institute and many others as long as approved by SkillsFuture Singapore (SSG). This program usually provides theory and practical training. So the total amount of time required to get the license is between three to five days depending on which organization you choose.

For example, the NTUC LearningHub provides three days in total. The course outline preparing to carry out forklift operations, inspect forklift, carry out forklift operations, reinstate and hand-over forklift. So in three days, you will receive important knowledge about operating a forklift and on the last day, you will operate the forklift to finally obtain the forklift license.

There's an option for full and part-time jobs. The common working time for full-time jobs in Singapore is 35 hours per week and less for part-time jobs. For a full-time job, there's a chance of working on shifts. The job advertiser will put that information on the advertisement for sure.
