HR & Admin Executive (6 months contract)

$3000 to $3500 (Monthly)

Responsibility for full spectrum of Human Resource duties including but not limited to the following:

  • End-to-end support and coordination with the recruitment and resignation processes.

  • Manage all submissions, liaison, compliance with local government authorities where it relates to employment matters, eg. MoM, CPF, IRAS, EPF, LHDN

  • Support processing of monthly payroll including computation of commission, contributions to social security bodies and tax authorities, payroll report to Finance.

  • Responsible for government claims and grant application processes

  • Administer the timely updating of leave application and records

  • Administration and maintenance of HRMS

  • Support local execution of global HR processes

  • Responsible for the application and renewal of work passes.

  • Manage employee personnel files and HR documentation

  • Coordination of training programs and activities to enhance employees’ skillsets

  • Maintain Employee Handbook, and where updates are made, to drive communication of the updates to employees

  • Implementing HR-related initiatives, eg. organisation of employee company events

  • Any other ad-hoc duties as assigned

Responsibility for the administrative duties including but not limited to the following:

  • General office administration and management, eg. requisitions of office/pantry supplies, servicing of office equipment

  • Liaison between employees and IT support in JB on IT matters

  • Monitor and ensure compliance with safe-distancing regulations

  • Compile the director’s reimbursement claims

  • Any other ad-hoc duties as assigned


  • Bachelor or diploma, HRM major

  • At least 3 years of experience in similar capacity

  • Conversant with Microsoft office, HRMS

  • Experience with Workday, SimplePay, HREasily at plus

  • Fluent in English (spoken and written) is required

  • Able to work independently and as a team

  • Discreet and able to handle delicate matters with tact and sensitivity

Personal Assistant (APAC Sales)

$5500 to $7000 (Monthly)

Job Description:

  • Provides high-level secretarial and administrative support to the SVP with emphasis on discretion/confidentiality and with a good understanding of technical and business vocabulary and with detailed knowledge of the organisational set-up, its procedures and people

  • Provides ad-hoc project management support across the region as directed by the SVP

Key Responsibilities:

  • Manages the SVPs appointments and calendar and travel arrangements related to the international presence of our team to make best use of his time; co-travel when relevant

  • Secures planning and proactive preparation for meetings and deadlines

  • Facilitates smooth communication between the SVP and Senior Leaders, managers and employees as well as between the SVP and external parties such as customers and the public authorities

  • Gathers, compiles and analyses information for the SVP to be used in documents such as memos, reports, presentations etc. Prepares presentations and correspondence as relevant

  • Maintain administrative systems, manage data and filing and attend to office expenses

  • Performs other administrative tasks independently and with attention to details and the confidential nature of the tasks

  • Manages smaller ad-hoc projects from start to finish, or one phase of a larger project, so that it is completed to quality, on time and within budget. This includes planning, resource allocation, and reporting

  • Based on established project plans, supports SVP by proactively following up on progress & performance. Escalates things where necessary

Professional Skills:

  • At least 3 years’ experience from a similar role at a similar level.

  • Formidable Chinese and English communication skills both verbally and in writing, enabling professional interactions both internally and externally at all levels including with existing and potential clients

  • A robust, flexible and self-driven individual needing little steer day-day.

  • Excellent attention to detail and compelling organisational skills, giving the ability to prioritise conflicting and changing deadlines and a varied workload

  • Experience of working collaboratively and efficiently in international organisations – ability to balance and align stakeholder expectations incl. ability to say “no” to safeguard the calendar of the SVP

  • A structured individual, preferably with experience as a project manager for small scale projects or parts of a larger project
