· Answering incoming calls; taking messages and re-directing calls as required.
· Write letters and emails on behalf of other office staff.
· Dealing with email enquiries.
· Diary management and arranging appointments, booking meeting rooms and conference facilities.
· Reply to email, telephone or face to face enquiries.
· Data entry.
· Prepare and monitor invoices.
· Communicating with external partners.
· General office management such as ordering stationary.
· Maintaining the company social media accounts.
· Create and update databases and records for financial information, personnel and other data.
· Submit timely reports and prepare presentations/proposals as assigned.
· Provide historical reference by defining procedures for retention, protection, retrieval, transfer and disposal of records.
· Keeping individual workstations tidy.
· Maintain computer and manual filing system.
· Able to monitor cctv and resolve system errors.
· Photocopy and print various documents, some-times on behalf of other colleagues.
· Workstation cleaning tasks such as dusting and sweeping.
· Able to do shift work and Staggered Timing.
· Any other ad-hoc duties when required.
