Human Resources Executive

We opened our first store in February 2016 to fill a gap in the market for the type of high quality all natural food that we would love to feed our own families. We now have 5 stores, an e-commerce platform and two café-bistros with close to 200 team members. We are now on the lookout for a People & Culture Executive (Human Resources Executive) to join our team!



  • This role will have primary focus on Payroll and Compensation & Benefits; reporting directly to the Head of People & Culture and will be part of a strong and supportive team. There will be ample opportunities to learn with both internal and external training options with room to grow in a fast, hypergrowth environment.






Role of People & Culture Executive:





  • Payroll:



  1. Key liaison for all matters related to payroll

  2. Responsible for accurate and timely processing of monthly payroll for about 200 employees currently

  3. Manage tax matters i.e., IR21, monthly CPF and IR8A

  4. Responsible for payroll reports; reconciliation, weekly and monthly labour reports, as well as accrual reporting of labour costs





  • Compensation & Benefits:



  1. Manage the collation and payment of incentives for team members

  2. Responsible for submission of statutory claims including NS-men make-up pay, maternity and paternity leave, childcare leave, etc.

  3. Liaise with Insurance on required medical claims

  4. Tracking of other team member benefits prevalent to the Company

  5. Liaise with respective managers rosters and attendance





  • HR System & Team Members' Data Administration



  1. Assist in creation and updating of team members' information and data in the HR System

  2. Maintain proper filing of required documentation e.g. application form, CVs, certifications, etc.

  3. Support processing of required documentation e.g. confirmation letter, promotion and increment letters, etc.





  • Other Responsibilities



  1. Support other areas of People & Culture such as Recruitment, Onboarding & Offboarding, Talent Management, Training, Learning & Development, Employee Engagement, Policies & Procedures if and when required

  2. Any other duties as assigned by the Head of People & Culture






Experience & Skills:



  • Minimum 1 years' related experience is preferred; candidates without related experience in Payroll and Compensation & Benefits, but with Human Resources experience will be considered

  • Diploma/Degree in Human Resources, Psychology, Statistics, Business Administration, Finance from a recognised institution

  • HR Certification e.g. Payroll or IHRP certification will be advantageous

  • Possess high level of attention to detail and meticulous in regards to accuracy of figures and calculations

  • High proficiency in Microsoft Excel

  • Experience in HR Systems such as Carbonate HR, InfoTech, Brio HR, ProSoft, PeopleSoft will be advantageous

  • Able to remain calm under pressure

  • Team player with willingness to learn

We are now on the lookout for an inspiring and creative personality to lead our growth marketing team; someone who can help us effectively communicate our story telling across our various channels (social, EDMs, website, in-store, café-bistros), understand the intepretation of key customer data (ideally your are a digital native), drive new customer acquisition, strenghten our positive relationships with existing customers through personalised communication as well as manage and leverage our loyalty program.




Importantly, we are expecting our new Head of Growth Martketing to lead, inspire and mentor our wonderful team of 3 passionate, energetic and smart marketing professionals as well as actively participate as a member of the Senior Management team of Little Farms.

The team creates a fun, warm and friendly shopping experience throughout the store by sharing their product knowledge and enthusiasm with our customers; helping to answer questions, offering suggestions and walking our customers to the products they are searching for. Every one of our team members ensures our customers know that they are always welcomed and cared for here at Little Farms.

Role of Retail Associate:



  • Assigned to the following tasks based on daily operation needs of the store:



  1. Customer Experience team

  2. Product Specialist team

  3. Store Opening team

  4. Store Closing team



  • Engages our customers by:



  1. Greeting and welcoming them; making eye contact, smiling and saying hello

  2. Educating self about products in order to best able to share this knowledge

  3. Answering questions and proactively assisting customers find the products they are searching for

  4. Offering suggestions for meals and entertainment based on our products

  5. Operate the cash register in a fun yet efficient manner, while being respectful of our customers' time

  6. Helping to bag the groceries purchased with care

  7. Able to assist customers out to their vehicles if or when required

  8. Promptly reverting back to our customers who have questions that require follow-up



  • Prepares the store for our customers by:



  1. Receiving, unloading and verifying deliveries

  2. Ensuring visual merchandising is up-to-date by stocking shelves, regular rotation of products and recording unsaleable items

  3. Building eye-catching informative visual merchandising displays

  4. Exercising proper food handling procedures

  5. Making the store shine - cleaning of floors, bathrooms, break rooms when required

  6. Collecting shopping carts and performing appropriate store maintenance and upkeep



  • Works as a team by:



  1. Being friendly, courteous and respectful of fellow team members by having a positive, can-do attitude

  2. Working with a sense of urgency within designated time frames

  3. Proactively contribute in discovering and sharing of ways to improve processes

  4. Arriving to work on time, and ready to go at the start of shift

Role of Assistant Store Manager:


Assists the Store Manager to head the team at our Little Farms retail store by leading our team members in the continued high performance of the store.




(A) Store Operations



  • Oversee day-to-day operations

  • Maintain budgets and optimization of expenses

  • Ensure and monitor policies and procedures set in place

  • Ensure team members work productivity and professional development

  • Assist in recruitment and training of new team members

  • Assist in evaluating and improvement of operations and financial performance including mark downs, shrinkage and labour costs

  • Prepare regular reports for Store Manager and Management

  • Ensure team members comply with health and safety regulations

  • Assist in providing solutions to potential issues


(B) Stock and Pricing Management



  • Ensures availability of products and services by regularly maintaining inventories i.e. daily reordering of required stock from warehouse and accessing of local orders wherever required

  • Able to soundly formulate and cascade feedback on pricing policies by reviewing visual merchandising activities, determination of additional sales promotions if required, authorization of clearance sales, and studying of market trends

  • Conduct regular stock take of all inventories in store:



  1. At least twice a month for produce and perishables

  2. At least once every 3 months for pantry and groceries

  3. At least once a month for alcohol and spirits


(C) Customer Service



  • Identifies current and future requirements of our customers by establishing strong rapport with them to understand service requirements

  • Lead by example to set the tone for other team members to deliver highest standards of customer service to each and every customer

  • Communicate all customer feedback to Management regularly

Role of Assistant Restaurant Manager:



  • Responsible for supporting the management of the restaurant efficiently by being identifying possible operational gaps to drive improved service levels and standards.

  • Look into all customer complaints and see to that their complaints are dealt without delay

  • Train and motivate team members to achieve sales targets for the financial year and improve productivity through the setting of proper key performance indicators and fostering of good customer service standards

  • Assist in the planning and management of duty roster for team members, monitor their attendance and approve leave applications

  • Perform team member support functions which could include interviewing and selection, training, performance review and carrying out disciplinary actions and termination if required

  • Assist in the supervision of SFA/NEA compliance with food & beverage hygiene policies & procedures

  • Help ensure team member compliance on workplace safety and create a harmonious working environment; conduct Risk Assessment with appointed Safety Officer to determine appropriate ways to eliminate hazard or control the risk within restaurant compound. Handle all incident reporting relating to customer, employees and assets immediately




Experience & Skills:



  • Diploma with at least 3 years of relevant experience in Café, Restaurant, Food & Beverage Services Management, Hospitality Management, or equivalent.

  • Good understanding of F&B and Hospitality best practices

  • Excellent communications and people management skills

Assistant Food & Beverage Manager

Job Overview


Customer service focused professional with a passion for leading operations to deliver excellent customer experiences and positive team outcomes. The Assistant Restaurant Manager (ARM) is the custodian of the restaurant in an operational second-in-charge function to the Restaurant Manager.




The ARM is expected to manage through the team and whilst they will understand how all the tasks involved necessary to achieve these outcomes, they are expected to sufficiently delegate and coordinate the completion of these tasks throughout the team based on the individuals’ strengths.




The ARM is expected to be the bridge between three stakeholders: senior management, junior team members and customers.




The ARM must seek to understand and balance the perspectives, and pressures, of all stakeholders, whilst displaying the confidence to advocate to either stakeholder on behalf of the another.




The ARM must display the following:

Build strong relationships with customers, handle customer feedback and complaints effectively.




Responsibilities and Duties



  • Provide excellent customer service to our guests and ensure customers are acknowledged and served quickly and efficiently

  • Ensure bar area is well stocked and prepped for everyday operations

  • Prepare consistent coffee/tea/beverage products to our guests

  • Assist bartender in creating non-alcoholic drinks.

  • Maintain good ordering of stock required for bistro operations and ensure first-in-first out (FIFO) method is used

  • Monthly inventory for non-alcoholic beverage.

  • Maintain high standard of cleanliness of the bar area

  • Ensure customers are satisfied with their meal/beverages and be proactive in assisting customers on their requests

  • Assist in any areas of the restaurant when staffing constraints require.

  • Any ad hoc duties requested by management relating to the service and cleanliness of the bistro.


Must have:
