HR Admin Officer

$3300 to $3750 (Monthly)

Job Responsibilities:




HR Management


· Handle HR duties including preparing HR correspondence, employment contracts, staff attendance. Ensuring that all employees comply to company’s rules and policies.


· Able to execute commendation or disciplinary actions.


· Examine & update company policies annually and as when required.


· On-boarding and off-boarding of employees matters such as create/ delete users accounts such as Email and Microsoft Teams. Ensuring on/ off boarding forms are in order.


· Maintain and update HR database and HRIS record (HR software and Insurance Software)


· Corporate Identity Guidelines


· Monthly processing of payroll (by software), timely payment of CPF contributions


· Handle staff insurance matters such as creation, deletion, renewals and claims.


· Working together with RO to set up Performance Structures and Format to gauge and guide employees into performing their duties.




Office Administration (OA)


· Manage day-to-day of administration operations to align with business needs


· Perform general administrative & clerical duties.


· Handle office maintenance, office equipment, company policies, and ensure smooth business operations.


· Working together with RO to improve work flow in the company.


· Training Kit coordinating updates and disseminations


· Printed Materials control such as marketing collateral, business card, letter head


· Purchasing pantry items, office stationery.


· Office Storeroom management.


· Managing/ recording of fixed assets such as IT equipment, air cons, furniture


· Office Maintenance such as lightings, electrical, mechanical (water issues), office equipment.


· Motor Vehicles road tax, insurances, fuel cards, scheduled maintenances.


· Certifications, Insurance and License management, such as BizSafe and WICA (electrical & fire).


· Handle Chairman’s administrative and personal matter.


· Handle Assistant President’s appointments.


· Software plugin updates for company website once on the 15 day of the calendar month.




Job Requirements:


· Minimum Diploma in HR Management/ Office Management/ Business Administration/ Marketing or any other related degree.


· At least 5 years of experience on HR and Office Administration matters.


· Comfortable in using IT platforms and apps usages.


· People oriented and results driven base on structure created within the Company.


· Demonstrable experience with Human Resources metrics


· Good interpersonal and communication skills


· Able to multi- task and work well under pressure


· Manage confidential information relating to various tasks assigned with tact and discretion.

  • Manage IT users accounts, such as MS Teams, Email Accounts.

  • Website includes updating of the software plugin updates on a monthly basis (once a month).


Job Requirements:



  • Minimum Diploma in HR Management/ Office Management/ Business Administration/ Marketing or any other related degree.

  • At least 5 years of proven HR and Admin on Assistant Manager level or above.

  • Good and proficient in softwares such as HR, Insurance, MS Teams, Cloud (One Drive) and Website updating and maintaining.

  • Demonstrable experience with Human Resources metrics

Reporting Officer : Assistant Manager, Sales & Marketing Department




Job Description



  • Meeting individual monthly sales target well as team quarterly target.

  • Handle and assist clients requests and responding to them with solutions,      possibilities and updates with urgency.

  • Provide excellent service with the aim to develop long term relationship with all clients.

  • Preparing samples requested by clients.

  • Extensive use of emails and it is the main platform for work (external as well as internal).

  • Instant Messaging Platforms such as WhatsApp are only for quick and general usage. All OFFICIAL communications must be done via email only.

  • Follow-up with customers projects or potential order status

  • Prepare project list and update existing projects on weekly basis

  • Visitations to clients in person are required.

  • Visitations to clients would take 70% of the working time and Work in Office 30%.

  • Upload Appointment time (schedule) in Microsoft Teams Shared Calendar.

  • Collection of client’s outstanding amount at stipulated time.

  • The position is report to S whereby Sales Leader will report to Sales &      Marketing Manager.

  • Any other tasks assigned by Reporting Officer or Management.


Job Requirements



  • Sales mentality and oriented.

  • Developing long term relationship with client.

  • Resolve guest/customer concerns and feedback.

  • Door to Door visitations and frequent visitations in person.

  • Responsive to clients requests, order updates; responsive to internal (company) communications.

  • Technology savvy for laptop and mobile phone, in terms of using of the updates, maintenance, software, usage.

  • Able to communicate extensive via digital platforms with speed.

  • Documenting project processes and outcomes, review will be conducted on the failure of closing any deals.

  • With Design Certificates, Sales, Forestry or QS background are welcome

  • Basic Pay with Commission

  • Possess Class 3 license
