The Personal Assistant (PA) to the Ambassador will work closely the with Ambassador and assume the following tasks:

Schedule meetings, and manage the calendar of events;

Answer phone calls and emails and take messages;

Administer the correspondence of the Ambassador with Singaporean authorities;

Take accurate notes at operational meetings;
-
Coordinate the program of the driver of the Ambassador;

Assist with the preparation and daily management of the social program of the Ambassador (bookings forluncheons , diners, receptions, seminars);

Plan travels including flights, accommodations, transportations;
-
Help with the operational preparation of visits of delegations in Singapore ;
-
Ensuring the maintenance of clear records and filing system;
-
Keep the lists of contacts in Singapore updated.

Other duties of the PA include the administration and maintaining of political, economic and general files; the provision of administrative support to the Ambassador;

The PA will also have responsibility for assisting in the organising of the Embassy’s social events (National Day reception, dinners, lunches, conferences…).

Administrative support will be provided in the booking of venues, accommodation and of flights when required.
Required skills and qualifications:
-
A higher education degree;
-
Solid command of the English language, both oral and written, and preferably at least one of the Belgian official languages (Dutch, French);

Well-developed organizational skills;

Discretion and trustworthiness;
-
The ability to work on one’s own initiative and to be pro-active in problem solving;

Able to prioritizing andbe flexible and creative in handling challenging tasks;

Good communication and strong inter-personal skills;
-
Good IT skills (MS Office, Internet Explorer and Outlook);
-
Experience in the diplomatic field, or as Executive assistant would be an advantage;

Residency permit since at least January 2022
Working conditions
The successful candidate will be offered a local contract for one year (extendable).
