Description:


Call Management

·        Handling all telephone calls and messages in a timely and professional manner

·        Screening / managing all general calls and direct them to the respective department

·        Updating of phone extension list as and when required

 

Visitor Management

·        Attending to all guests in a friendly and professional manner

·        Inquiring the name of the hosts and contact the hosts that their visitors have arrived

·        Issuance and recording of visitor passes

·        Receive visitors and prepare drinks

·        Ensure vendors and visitors do not wonder around the office on their own

 

Reception Area & Meeting Rooms

·        Booking of meeting rooms, when required

·        Schedule meetings, internally and externally, when required

·        Ensure smooth operation and housekeeping of reception area

 

Vendor & Courier Management

·        Coordinate, schedule for delivery of local and overseas courier services and process weekly invoices

·        Collect letters from letterbox every afternoon, update collection mail list and contact respective Team Admins to collect division’s mails by the end of the day

·        Responsible for office, Pantry and Stationary supplies. Ensure supplies are adequately stocked and cupboard are kept neat and tidy at all times.

·        Manage log books for stationary/pantry/visitor badges [record in/out entries]

 

Admin:

·        Assist in filing and documentation

·        Responsible for Name Cards process (1st gate check to purchase requisition order, raise quotation, PO, send artwork for approvals and perform goods receipt for invoice)

·        Process invoices, Raise Purchase Requisition, Quotation, PO, Perform Goods Receipt

·        Any other ad-hoc duties as assigned


Requirements:

  • At least 3 years of experience in customer-fronting
  • Able to work on rotating shifts and weekends
